What happens to your records — written plainly, before you send anything.

If you are about to send us a diagnosis, a treatment plan or a scan, you should be able to read exactly where it goes and how long it stays there. That is this page. Last updated 27 August 2026.

The short version. Send medical records over WhatsApp, not the form and not email. They go to the clinician reviewing your case and nobody else. We delete our copy as soon as they have responded, and within 7 days at the latest. We do not read or interpret them ourselves — we are a concierge, not your doctor.

Who we are

For anything on this page — a copy of what we hold, a deletion, a withdrawal of consent — either channel reaches the same people, and we reply within 12 hours.

Use WhatsApp for medical records. Not the form, not email.

This is the one instruction on the page that matters most, and the reason is specific rather than stylistic.

  • WhatsApp is end-to-end encrypted, and it is the only channel we accept records on. Messages sit in that chat; our copies of any attachment are deleted as described below.
  • The enquiry form on this site is relayed by a third-party service (formsubmit.co) and arrives in ordinary email mailboxes, where it is retained until deleted. It has three fields — name, email, message — and no file upload. It is fine for "can you help with X". Do not put clinical detail or attachments through it.
  • Email is the same: convenient, not private. Use it for admin.

If you send records to the wrong channel we will tell you, and delete what arrived.

We do not read your imaging

We are not clinicians. We forward what you send to the reviewing hospital and we relay their answer, attributed to them. We will not comment on a scan, offer an interpretation, or tell you what we think it shows. If we ever appear to be doing that, we have made a mistake and you should say so.

Who else sees it

  • The hospital or clinician reviewing your case — named to you before anything is sent. Nobody else receives your records.
  • Service providers you ask us to book — a hotel or a driver gets your name and dates, never anything clinical.
  • Google Analytics for site statistics, and formsubmit.co if you use the form.

We do not sell data, we do not share it for advertising, and we do not pass your details to other clinics to tout for your business.

Separate consent for medical records

Health data is treated as a special category under the EU and UK GDPR, as sensitive information under the Australian Privacy Act, and as sensitive personal information under China's PIPL, which requires consent that is separate — not bundled into a general "send us your details". So before you send anything clinical we will send you one message setting out where it goes, who reads it and when it is deleted, and wait for you to agree. If you would rather not, that is genuinely fine: we can work from a written plan your own doctor gave you, or have things looked at on arrival.

We are based in China and many of our readers are not, so records you send cross a border. That is inherent to the service — a Chinese hospital cannot review a case without receiving it — and it is part of what you are agreeing to.

Your rights

  • Ask what we hold about you, and get a copy.
  • Have it corrected, or deleted.
  • Withdraw consent at any time — including after a review has happened.
  • Ask us to stop contacting you. One message ends it; we do not run drip campaigns and we never cold-call.

Message either channel above. We do not require a form or a reason.

Cookies and analytics

This site runs Google Analytics 4 to count page views and to record when someone taps a WhatsApp link. There is no advertising network, no retargeting pixel and no third-party marketing cookie. You can block it with any content blocker or your browser's Do Not Track setting, and nothing on the site stops working.

Children

This site is written for adults. Where an enquiry concerns a child, we deal with the parent or guardian.

Changes

If we change how records are handled we will change this page and its date. Material changes get flagged in the chat to anyone with an open enquiry rather than published quietly.
